OVERALL JOB PURPOSE
An operational based role, so a love of computers and solving analytical problems are a must!This role will often be the first point of contact with the stores on a variety of topics from customer enquiries to co-ordination of in store activity, to helping with stock issues, from automatic replenishment to cycle counts. Your prompt response and ability to help solve these issues will be vital to the stores and the team overall. You will need to assist the Retail Director with general administration and co-ordination of several projects and you will be expected to get involved within the Operations of the company. This is a critical role in communication across the organisation and will involve contact with suppliers and contractors that we use.
The ability to maintain the systems accurately is critical to the business. Ensuring they hold the correct information and are operating effectively ensures that the team functions as one.
KEY RESPONSIBILITIES
Preparation and collation of reports.
Assist managers with investigation of concerns and issues and bring any concerns to the attention of the responsible manager.
In discussion with the Retail Director and sales analyst, oversee the planning, training and organisation of stock takes within stores.
Maintenance and monitoring of store systems e.g. Closing of transfers and orders
Authorisation of store returns to warehouse.
Adding new items to/maintenance of Retail Item Master.
Adding new items to/maintenance of Vendor Master.
Adding/changing prices on Retail Price Profile.
Assist in setting stores Min/Max levels and up loading changes, as agreed with Retail operations manager.
Provide secretarial and administrative support to the Retail Director and Stores. Dealing with correspondence, organising travel itineraries, coordinating diaries, organizing training and management meetings and producing PowerPoint presentations.
IT support for stores- downloading files, clearing crashed jobs on system, moving items along job queue, changing order status codes.
Plan the Retail calendar of events accurately and using due diligence where necessary.
Assist in the payrol report collation from store managers
To be able to visits the shops where necessary
KEY CRITERIA
Experience within a retail environment.
Able to demonstrate good organisational skills and experience of accountability of time planning and working to deadlines, either individually or within a team.
The confidence to work under own initiative, yet take direction well.
Be able to demonstrate a calmness and practicality under pressure.
Be competent at using computerised equipment such as cash tills and computers, combined with good mental arithmetic skills.
Knowledge of Word and Excel desirable. Excel skills are a vital part of the role to support the Department in processing and assimilating statistical reports.
Pro-active and solution driven.
Be flexible to working within trading hours of London Office.
ADDITIONAL DUTIES
·Organise travel plans for retail department and managers as and when required.
·Support in the organisation of all retail meetings and conferences.
·Support in generating weekly retail focus and communications to stores as and when required.
